How do I take a register using the »ÆÉ«¶ÌÊÓÆµ Mobile app?

What are the main differences with the new version of attendance?

  • »ÆÉ«¶ÌÊÓÆµ Direct is View only
    • All attendance information is managed in one place, the »ÆÉ«¶ÌÊÓÆµ Mobile app or web interface. Staff no longer need to switch to »ÆÉ«¶ÌÊÓÆµ Direct to backfill absentees, but instead complete this within the app. The attendance information is sent back to »ÆÉ«¶ÌÊÓÆµ Direct by overnight processes where it is read only.
  • PIN is 6 letters
    • The PIN is made up of 6 letters (previously 4 numbers)
  • Students can notify absence themselves using the app during the teaching session
    • If a student is unable to attend a teaching session they can notify you during the session by selecting from the list of absence reasons.
  • A student’s location at the time of check in should help determine they are physically present
    • New »ÆÉ«¶ÌÊÓÆµ Mobile Attendance confirms if a student is within range of the teaching building at the time they check in. If they have chosen not to share location information with the app, this information will show on attendance reports as not recorded. See staff guidance link above for more information.
  • Tutors have access to the PIN in advance.
    • The PIN is available for all upcoming teaching sessions prior to the start time of the session.
  • Students can check in up to 5 minutes after the session has ended
    • The end time of check in is currently set to 5 minutes after the session has ended.

Which students can use »ÆÉ«¶ÌÊÓÆµ Mobile to register their attendance?

All users of the Student Profile of »ÆÉ«¶ÌÊÓÆµ Mobile, who have an event or teaching session listed in their timetable in »ÆÉ«¶ÌÊÓÆµ Direct will be able to register their attendance at that teaching session or event.

The 6 digit PIN (all letters) will be automatically generated for all teaching sessions and events.

How long do students have to enter a PIN once it has been shared?

Students have from the time the PIN is shared to 5 minutes after the end time of the teaching session or event to enter the PIN and check in to their session.

When is the best time during my lecture to record attendance?

You can make a note of the PIN prior to start of the teaching session. You can choose to share that PIN with your students at any time?during your teaching session. Your students will be able to check in from the time you share it with them to 5 minutes after the end time of the teaching session.

How can I view and amend attendance records after a lecture?

After your teaching session has finished, you can edit attendance in »ÆÉ«¶ÌÊÓÆµ Mobile via the History button for up to 7 days after the teaching session.

Anyone who hasn't checked in or marked themselves as absent by the end time of the check in window (5 minutes after the teaching sessions has ended) will need to be marked as not present by selecting all those who have not checked in. This should be done in the app.

The day after your teaching session you will be able to view attendance records through the Teaching Records page on »ÆÉ«¶ÌÊÓÆµ Direct. The information will include if they are present, details of any absence reason and whether the students' location was within range of the building when they checked in. All students who have successfully checked in by entering the PIN during the lecture will be marked as 'Present'.

Any updates to any students' attendance will be sent to »ÆÉ«¶ÌÊÓÆµ Direct by overnight processes. »ÆÉ«¶ÌÊÓÆµ Direct can no longer be used to edit attendance. .

I can't see my expected teaching session or PIN - what should I do?

If you are also a student, you will need to switch to the Staff profile to view Lecturer Attendance and view the sessions' PIN.

What if I have problems using the system?

If you have trouble accessing the app through your phone or tablet, you should use the PC in the teaching room to use the browser version. This can be accessed via?/mobile

What if my students have problems using the system?

Students should be advised to first look at the students FAQs (if they have not yet done so) which can be found at . These provide answers to a number of common questions about the functionality.

If a student is present, but has problems entering the PIN or accessing the app, they will need to contact you after teaching has finished and you will be able to update their status manually in »ÆÉ«¶ÌÊÓÆµ Mobile. You should also prompt them to let you know if you they have any issues and record their names during teaching, if possible.
